Whatsapp, apps, Facebook, Instagram, Linkedin, Mail, Zoom, Microsoft teams, Google meets, Skype for business, Teamlink, Snapchat, ... and the list can go on. But we also still have a normal telephone conversation or meeting.

En toch blijft het verbazingwekkend als je ziet hoe bij de meeste bedrijven de communicatie nog steeds gaat. Interne communicatie is nog steeds gebaseerd op concepten die jaren oud zijn. Misschien ziet de nieuwsbrief er iets moderner uit maar wie leest er nog een nieuwsbrief? En vanuit HR zal externe communicatie vooral richting de arbeidsmarkt zijn. We zien nog steeds sollicitatieprocedures gebaseerd op een oud administratief proces. De wereld en de arbeidsmarkt zag er toen echt anders uit.  HR was toen vooral administratief bezig, had geen resultaatverantwoordelijkheid en werk nam een heel andere plek in zeker in de beleving van de medewerker.

“Traditional” communication has the advantage of more personal contact. People come together physically to discuss, creating space for face-to-face interaction. Result: more understanding, empathy and direct feedback and it is easier to pick up non-verbal signals, such as body language and facial expressions.

Another advantage is the focus on accuracy and depth. Because communication is a little slower, there is more time to think and convey information carefully. This reduces the risk of misunderstandings and mistakes.

Something we have seen lately is that the feeling of having to be constantly available among employees can lead to a feeling of overload and stress. The expectation of having to respond immediately can lead to a lack of personal space and time for reflection. This can have a negative impact on the well-being of individuals, both personally and professionally.

Despite the disadvantages of modern communication tools, it also has many advantages. It allows us to exchange information, collaborate and respond to situations quickly and efficiently.

However, it is important to strike a balance between speed and careful communication, and to be aware of the potential pitfalls associated with over-reliance on fast modern communication tools.

What does SPOT-HR mean by modern HR communication?

  • 24/7
    Most service and customer departments of a company can be reached 24/7. We think that HR also has customers, so why can they only be reached during office hours from 9:00 AM to 5:00 PM? Better accessibility for employees and applicants, for example by using a chatbot for frequently asked questions or an HR WhatsApp.
  • Online and social media 
    Employees are active on social media and also post about the company there. As a company, and certainly as HR, you can deal with this in a good way by also being present in the media. This way you have a feeling for what the sentiment is and if necessary you can do something with it or even influence it.
  • Communication internally to employees
    What language do you speak internally with your company? Still distant and formal or are you using the language you use when having a conversation with your friends and colleagues. Does the company still only use standard templates or are the letters a little more personal?
  • The use of video and social posts
    Does the company have a bookcase full of manuals, protocols, regulations, newsletters, etc. or does it also use video and social posts? Especially when it comes to short information and short messages.
  • Pro-active communication
    HR usually waits to communicate until there is no other option and it is necessary. Communication can also be a strong tool to keep employees involved. Simply maintain the relationship with employees and managers by occasionally asking how things are going and whether there is anything HR can help with.
